We collect or use the following personal information for dealing with queries, complaints or claims:

1. Lola AI Chatbot:

  • Message history (the conversations you have with our chatbot)
  • Contact details you provide (such as name, email, phone number)
  • Browser session data (temporarily stored while you use the chatbot)
  • Information about your inquiry or interest in our services

2. Email correspondence:

  • Your email address and contact details
  • The content of your messages
  • Attachments you may send us
  • Date and time of communications

3. Traditional correspondence:

  • Postal address and contact details
  • Letters and documents you send us
  • Records of telephone conversations

Lawful bases and data protection rights

Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information for dealing with queries, complaints or claims are:

  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you, or because you have asked us to take specific steps before entering into a contract (such as contacting you with information about our services). All of your data protection rights may apply except the right to object.
  • Legitimate interests – we process your information because it benefits you, our organisation or someone else, without causing undue risk to your privacy. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
    • Responding to your inquiries about our services
    • Maintaining records of our communications for business continuity
    • Establishing potential business relationships

We only collect the minimum information needed to contact you as requested, and have determined that this use of your data doesn't override your privacy interests.

Where we get personal information from

  • Directly from you through our Lola AI chatbot
  • Directly from you via email or traditional correspondence
  • Browser session data is collected automatically when you use our chatbot

How long we keep information

  • Lola AI Chatbot message history: We retain this for 12 months after our last interaction.
  • Browser session data: Temporarily stored only while you are actively using the chatbot, then automatically deleted when the session ends.
  • Email and traditional correspondence: Retained for 12 months after our last interaction.
  • If you become a client, we will retain information according to our client data retention policy.

How to complain

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice.

If you remain unhappy with how we've used your data after raising a complaint with us, you can also complain to the ICO.
